What of my data is processed in gROW?
Personal data
The data stored in gROW are:
employee number, first and last name, RU email address, department and position. This data is supplied/updated via RBS.
Gegevens regarding my activities in gROW
gROW keeps track of what training courses you have followed, which courses you are/were registered for, which e-learnings you have started/completed and which articles you have read. This data is only visible to a very limited number of back-office employees of HR and is not shared.
This data is important for you, so that you can continue to have access to the events you follow, etc.
This information is also used to generate learning activity for the provision of information. Before publishing this data, alle personal data is geanonimiseerd.
What happens to my data after my employment at the RU?
As soon as your account at Radboud University expires, your data in gROW will be deactivated. This means that you can no longer log in and that only your employee number, name and e-mail address are in the system. One month after this deactivation, your personal data will be automatically anonymized. The only thing that remains visible are the learning activities. So what you have ever tracked in gROW remains visible, however, without these activities being traced back to you.
Who can see what I'm doing in gROW?
The following groups have access to your activities.
- Teachers and trainers: only for those activities they provide.
- Event and course managers: see the data of participants in their own training and/or course. Visible to them are: employee number, name, surname, e-mail address, department and position.
- Backoffice ExpO (key-users): all data is visible to them.
Your personal data will not be passed on to parties other than those shown above without your permission.
Please note: managers cannot track employee activity in gROW.
What happens to my data if the training is provided by an external agency?
ExpO enters into processing agreements with external parties. The privacy rules of the RU as indicated above also apply to them.
In some cases, participants are asked for additional permission to share data with external parties. (for example, if a phone number or a private email address is requested)
Texts accompanying events and courses sometimes refer to an external website. It goes without saying that vigilance is required when you leave data here (e.g. e-mail address).
